For dentists & dental practices

The practice they smile about.

Most of what patients get from their dental office is a reminder text or a bill. A handwritten card is different: a welcome after a first visit, a birthday card from the whole team, a thank-you when a patient refers a friend. Upload your patient list once and every card is written for that person, with nothing about their care on it.

Write one message with merge fields in curly brackets, or start from one of these. Each client’s values are filled in, and then the card is written for them.

01

Welcome every new patient

After a first visit, a card from the front desk and the dentist makes a new patient feel known, and makes it easier to come back.

Example · Client thank-you
“Welcome to the practice, Jordan. It was lovely to meet you, and we look forward to seeing you again.”

02

Patient birthdays from the whole team

Add a birthday column and each patient gets a card on their birthday, every year. Children especially love getting real mail with their name on it.

Use the client birthday template →
Example · Client birthday
“Happy birthday, Mia! The whole team hopes you have the best day, with lots of fun and a big slice of cake.”

03

Referral thank-yous

When a patient sends a friend or family member to you, thank them by hand the same week. Patients who feel appreciated tend to keep recommending you.

Example · Referral thank-you
“Thank you for recommending us to your coworkers, Ellen. We’re so glad you feel at home here.”

Why a card is worth it

Patients choose and stay with a practice for the people as much as the care. A handwritten card from the team is a simple, personal way to show you know them beyond the chart, and it lands on the fridge, not in the spam folder.

New patients often arrive by word of mouth. Thanking the people who send them, and welcoming every newcomer properly, is one of the kindest ways to encourage more of it, and it takes minutes once the list is uploaded.

Keeping patient information private

  • Keep cards free of any health details: no treatments, procedures, diagnoses, appointments or anything about a patient’s care. A card travels in the mail and can be read by anyone in the household.
  • Upload only what the card needs: name, mailing address and, for birthday cards, the birthday. Leave chart notes and insurance details out of your list.
  • If your practice has a privacy policy for patient mail, check your message against it. You can read and edit every card before it is mailed.

Questions

No. Business cards are written from your message and the names and dates in your list, and the writer is told never to mention health or care. Keep treatment details out of your list and your message, and you see every card before it is mailed.

Yes. Address the card to the child, or to the parents with the child’s name in your message. Kids love real mail.

Export only names, mailing addresses and birthdays from your practice software as a CSV or spreadsheet and upload it. You check every row before anything is saved.

No. Your list is used only to write, address and mail your cards and to remember the dates you ask us to. We never sell it, share it for marketing or contact your patients ourselves.

Yes. Set the signer in your business profile to something like “Dr. Patel and the team”, and the card is signed that way.
