For insurance agents

Policies renew. People remember.

Most policyholders only hear from their agency when a bill or a renewal notice arrives. A handwritten card changes that: a welcome when they sign, a thank-you when they renew, a birthday card every year and a kind word after a hard claim. Upload your book once and each card is written for that person.

Messages to start from

Write one message with merge fields in curly brackets, or start from one of these. Each client’s values are filled in, and then the card is written for them.

01

Welcome every new policyholder

The first weeks set the tone. A handwritten welcome tells a new client there is a real person at the agency who knows their name and is glad they chose you.

Use the client thank-you template →
Example · Client thank-you
“Welcome to the agency, Carla. Thank you for trusting us with your family’s coverage. Call me any time you have a question.”

02

Renewal thank-yous

Renewals are the moment clients quietly decide whether to stay. A thank-you card around their renewal date reminds them why they picked you in the first place.

Example · Client thank-you
“Thank you for another year with us, Frank. It’s a pleasure looking after you and Joan.”

03

Birthdays, every year

Add a birthday column and each policyholder gets a card on their birthday, written fresh every year and approved on your dashboard.

Use the client birthday template →
Example · Client birthday
“Happy birthday, Lisa! I hope this year brings you plenty of sunshine and a few long weekends at the lake.”

04

A check-in after a claim

After a fender bender or a storm, a short note that says you hope things are getting back to normal is remembered long after the paperwork is done.

Use the checking in template →
Example · Checking in
“Just thinking of you, Sam, and hoping the roof repairs are behind you and the house feels like home again.”

05

Referral thank-yous

When a client sends a neighbor or relative your way, thank them by hand that same week.

Example · Referral thank-you
“Thank you for sending your neighbors our way, Paula. It means a lot that you’d recommend us.”

Why a card is worth it

Insurance is a product people hope never to use, so the agent is often the only part of it they feel. A handwritten card is a small, unexpected reminder that someone is on their side, arriving between bills rather than with them.

Keeping a household is usually worth far more than the cost of a few cards a year. A birthday card and a renewal thank-you take minutes to set up once your list is uploaded, and then they simply happen each year with your approval.

Keeping cards appropriate

  • Keep cards personal: no coverage promises, quotes, premiums or claim decisions. The writer is told to avoid them, and you can edit every card before it is mailed.
  • Leave policy numbers and claim details off the card; a note can say you hope things are back to normal without saying what happened.
  • If your carrier or state has rules about client correspondence, check your approved message with them first.

Questions

Yes. Add a renewal date column to your list and use it as the arrival date for a thank-you send, or schedule a list to arrive in the week you choose. Every card waits for your approval before it is charged.

Only what you write in your message. The writer never adds policy details, prices or coverage promises, and you see every card before you pay.

Export a CSV or spreadsheet and upload it, paste the rows or upload a screenshot. You check every row before anything is saved.

No. Your list is used only to write, address and mail your cards. We never sell it, share it for marketing or contact your clients ourselves.
